Roomable

Privacy Policy

Roomable stores the rental records you choose to add so you and the people you authorise can manage shared properties.

Information Roomable stores

Roomable may store your account name, email address and user identifier; property addresses and room details; tenant names, contact details and notes; tenancy dates; rent, payment, receipt, utility and bond records; and tenancy agreement PDFs you choose to upload. When you use Google sign-in, Google's sign-in software may also process limited account, device, coarse-location, usage and diagnostic information to authenticate you and operate that service.

Optional records also include room availability dates, enquiry notes, house-guide details such as Wi-Fi and access instructions, and move-in or move-out photos and notes you choose to add. Photo reports belong to a tenancy and are stored privately.

How the information is used

The information is used to provide Roomable’s features: signing in, syncing rental records, sharing selected properties, tracking amounts due, preparing records and exports, and showing documents you uploaded. With your permission, basic usage information also helps improve the app, as described below. Roomable does not sell personal information, display advertising, or use app data for cross-app tracking.

Optional usage sharing

If you allow usage sharing during onboarding or in Settings, Roomable records app visits, features used and generic save failures to help improve the app. These records include your account identifier, app build and event times, and are stored in Supabase for up to 90 days. They do not include tenant details, property addresses, financial amounts, documents, photos or message contents. No advertising tracking or screen recording is used.

Sharing is off until you agree. Choosing Not now or closing the question keeps it off. You can change your choice at Settings → Usage sharing. This choice applies to your account on each device, not to other devices. Turning it off stops future sharing and clears unsent usage events; previously received events expire within the retention period. Deleting your account removes its analytics records.

Retired agreement import

Fill from agreement was retired on 10 September 2026. Roomable no longer sends agreements to an AI provider. You can enter tenant details manually and separately store signed agreements in private document storage.

Before retirement, an explicitly selected PDF, including its personal information, could be sent through Supabase to Anthropic’s API for suggestions. The endpoint did not intentionally persist document contents in Roomable’s database or logs. Existing unfinished form drafts and confirmed tenancy records remain protected by the normal account and property-access controls.

Retirement does not promise immediate deletion or zero retention of earlier requests by Anthropic. Its standard API retention policy includes exceptions for legal requirements and usage-policy enforcement. See Anthropic’s commercial data retention policy and privacy policy. Historical account-linked attempt counters contain no agreement text.

Service providers

Roomable uses Supabase for authentication, database storage, private document storage and optional usage sharing. If you choose Google or Apple sign-in, that provider processes the sign-in according to its own privacy policy. Roomable receives only the account information required to authenticate you. Google's sign-in software may process limited identifiers, usage and diagnostic information for authentication-service analytics, as declared in its Apple privacy manifest.

Supabase also stores condition photos. Cloudflare hosts the support website and read-only condition-report pages, and processes requests needed to deliver those pages.

Sharing and access

Inside the app, property records are visible only to accounts that a property owner has authorised. Owners can assign full-owner, manager or view-only access and can remove access. House guides remain inside this authenticated property access.

A family member with access can choose to share condition photos using another app or a read-only report link. Anyone with that link can view that report’s photos, notes, room, address and date without signing in; keep the link private. Links expire after 30 days and an owner or manager can stop link sharing earlier. Already-issued image links may work for up to five more minutes, and photos a recipient has downloaded cannot be recalled. Roomable does not send messages automatically.

Retention and deletion

You can start account deletion inside Roomable at Settings → Account & family → Delete account. Your sign-in identity, Roomable profile and property access are removed. If you are the only owner of a property, its Roomable rooms, tenants, payments, uploaded documents and condition photos are also deleted after you confirm. Records belonging to a property that has another owner remain available to that owner, but your Roomable profile is removed.

Some non-identifying transaction or security audit references may be retained where reasonably needed to protect record integrity, prevent fraud, or meet legal obligations. Roomable removes protected copies saved by the app on your device when deletion completes.

Security

Roomable uses encrypted network connections, private document storage and property-level access controls. No system can guarantee absolute security, so owners should grant access only to people they trust and keep their device and sign-in account secure.

Children

Roomable is a business and property-management tool and is not directed to children under 13.
